Claude for Operations and Admin
Admin and operations roles carry the highest documentation and communication load on most teams. You're drafting emails, reformatting notes, managing schedules, producing recurring reports — sometimes all in one morning. Claude fits directly into that workflow and handles the first-draft, formatting, and summarization work that takes up more time than it should.
Your Highest-Leverage Uses
Email triage. Paste a long email thread you've been looped into. Ask Claude what's happened and what (if anything) is being asked of you. Useful when catching up after time out or when a thread has gone on too long to read top-to-bottom.
Meeting summaries. Paste rough notes or a transcript. Ask Claude for a clean summary with decisions made and action items listed by owner. You review and send — no writing required.
Document formatting. Paste messy, unformatted content. Claude structures it properly. Works for policies, reports, SOPs, agendas, anything that comes in as a wall of text.
First drafts of recurring correspondence. If you send similar messages week over week — vendor updates, client check-ins, internal announcements — describe the situation and ask for a draft. More time reviewing than writing.
Two Projects to Set Up
Project 1: "Inbox Helper" System prompt: "I handle communications for {name/team} at Empower. When I paste email threads, summarize them clearly and flag anything that needs a response. When I ask you to draft a reply, match a professional and direct tone."
Use for all email triage and drafting. Keeping email work in one Project helps Claude maintain context when you're working through a backlog.
Project 2: "Meeting Notes Cleaner" System prompt: "I will paste raw meeting notes or transcripts. Clean them into a structured format: attendees, summary, decisions, action items. Keep all factual content. Do not add anything that wasn't in the original notes."
Paste notes immediately after a meeting. Have a clean summary ready before the next calendar item opens.
Mobile and Desktop
Unlike some roles, admin work happens across both. Mobile is useful for quick email drafts and lookups when you're away from your desk. Desktop is better for long documents, formatted output, or multiple back-and-forth rounds. Same Projects and context on both.
What to Prioritize First
If you're new to Claude, start with email triage. Immediate. Obvious payoff. Builds the habit of reaching for Claude when the inbox gets heavy. Once automatic, move to meeting notes. Those two workflows alone save most admin roles 30–60 minutes a day.
One-Week Challenge
Every time you're about to read a long email thread this week, paste it into your "Inbox Helper" Project first and ask for the 3-bullet version. Read the summary, then read the thread. Notice how much faster you process it with the summary up-front vs. without.
